What is an Exhibitor Appointed Contractor (EAC)?
At trade shows and conventions, exhibitors often need help setting up or managing their booth. While the official show contractor provides many of these services, exhibitors sometimes prefer to hire their own vendors. These third-party providers are known as Exhibitor Appointed Contractors (EACs).
Who is an EAC?
An Exhibitor Appointed Contractor is any company or individual hired directly by the exhibitor—rather than by the event organizer or official contractor—to perform services in the exhibitor’s booth space. These services may include:
- Booth installation and dismantle (I&D)
- Custom booth design and construction
- Furniture or floral rentals
- Audio-visual services
- Labor assistance
- Graphic application
Why Would an Exhibitor Use an EAC?
Exhibitors may choose an EAC for a number of reasons:
- They have a preferred or longstanding vendor relationship
- The EAC offers specialized or custom services
- The exhibitor wants greater control over how their booth is handled
Requirements for Using an EAC
If you plan to use an EAC at an event, there are key requirements to ensure the process is smooth. You may review some of those details HERE or simply start the registration process HERE.
- Notification
- Insurance
- Documentation
4. Limitations
EACs cannot perform certain services such as:
- Electrical
- Plumbing
- Cleaning
- Drayage (freight handling)
These categories must be handled exclusively by the official contractor, due to compliance requirements with licensing, facility-owned equipment, and insurance. Exhibitors may only provide and use material and equipment they personally own within their designated exhibit space.
